At The Hot Box Sauna, we are building out our People team, as we grow, nationally and internationally. We are seeking an organised, recruitment-focused HR professional to join us. In this role you will drive hiring across our Irish sites and support the day-to-day of HR operations.
This is a hands-on, high-ownership role suited to someone early in their career, who wants to grow in a well-rounded people focused role, across both Recruitment and HR operations. Working within the set systems, templates and processes, you will coordinate hiring, issue contracts, keep our records and applicant tracking system accurate, and be the first friendly point of contact for site managers on everyday people related questions. You will execute the routine with confidence and know where the line sits — sensitive or high-stakes matters are escalated rather than handled alone.
Key Responsibilities
Recruitment & Talent Coordination
Drive the Hiring Process - post and refresh adverts, screen applications, coordinate and schedule interviews, conduct first-round interviews yourself, and keep candidates informed at every stage, all within our established hiring framework.
Applicant Tracking - manage our ATS day-to-day, keeping the pipeline current, records clean, and candidate communications timely and accurate.
Supporting Hiring Managers - prepare interview question sets and scorecards from our standard templates and collate interview summary documentation for hiring decisions.
First-Round Interviews - conduct first-stage screening and interviews using our structured, values-based questions, assess candidates against the scorecards, and recommend who should progress.
Onboarding New Starters - coordinate offer paperwork, pre-employment checks, right-to-work verification and first-day setup so new team members start smoothly.
Knowing When to Escalate - pass senior, sensitive or precedent-setting hiring decisions up to the manager.
HR Operations & Documentation
Contracts & Letters - issue offer letters, contracts of employment and contract variations using approved templates, ensuring accuracy and correct sign-off before release.
Records & Compliance - maintain employee records and HR documentation to a high standard: accurate, consistent, up to date and GDPR-compliant.
Keeping Things Audit-Ready - keep the ATS, employee files and people-team trackers clean and audit-ready, flagging gaps or inconsistencies for correction.
Supporting the Cycle - support probation and performance reviews, contract renewals and standard correspondence within established processes and deadlines.
Handbook & Templates - help maintain the employee handbook and template library, applying changes directed by the manager.
First-Line Support & Site Liaison
First Point of Contact - be the go-to for site managers and staff on routine, day-to-day people queries, answering within policy and escalating anything sensitive or high-stakes.
Enabling Managers - support the rollout of manager-enablement tools and training.
Being Visible - build good working relationships across the sites so the people team is approachable, trusted and well connected.
About You
You are highly organised and results-driven, passionate about candidate and customer experience, as well as continuous learning.
Required Skills and Experience
A diploma, certificate or degree in HR Management, Recruitment Practice, Employment Law, or another relevant HR discipline (essential).
Knowledge of Irish employment law fundamentals — working time, leave, contracts, right-to-work, and GDPR in a people context.
Demonstrable experience from 1-3 years in a recruitment or HR role.
Highly organised and detail-focused, with good project management skills and the discipline to manage compliance-sensitive documentation accurately.
Clear, professional written and verbal communication, with a candidate- and colleague-friendly manner.
Discreet and trustworthy with confidential information, and sound judgement about when to escalate rather than act alone.
Strong general computer and software skills, comfortable with everyday business software and quick to master new tools and systems.
Right to work in Ireland full time without restrictions.
Ability to work at the Head Office location in Dublin 2 and occasionally from home when required.
Nice to have
Experience with an applicant tracking system and HR Information Systems.
Experience in a multi-site hospitality, retail, leisure or wellness environment.

Working hrs: 40hrs per week, office hours, Monday to Friday (with occasional flexibility around hiring needs)
